How To Use A Trigger for a Review Request Campaign or Email

You can set up your CRM to have the ability to capture reviews, and you can also automate this feature to make it even more convenient to use. (Check out our tutorial "How to Set up Your System to Capture Reviews" to learn how to set your reviews).

Once you've set up your system to capture reviews, continue on to learn how to automate the review request feature. There are two convenient ways to do this by using triggers. You can add someone into a campaign/sequence or send a one-time email.

Part 1: Triggering a Review Request CampaignIf you plan to use a sequence of events, perhaps multiple emails and SMS communications in the review request series, using a campaign will be a great option. When a contact is given a specific tag, they will be placed into a review request campaign, which contains the link for the review.

Step 1: Set up the campaign.

  • Navigate to Settings > Reputation > to copy the review link you've added into your system. (Copy this and you'll paste it in a following step).
  • Navigate to your Campaigns section and create a new campaign.

  • Choose an email or SMS.

  • Create the message and insert the link you copied above.

  • Save.
  • Publish the campaign.

Step 2: Create the Trigger.

  • Navigate to your triggers section to create a new trigger.
  • Choose the application of a Contact Tag to trigger the automation.
  • Define the filter as whatever tag you want to use to fire off the action. In this example we are using the "Review Request" tag to add contacts to the "Review Campaign".

  • Save and activate your campaign.

Step 3: Apply the tag to utilize the trigger.

  • Navigate to your Contacts section.
  • Using the bulk action feature (to add to multiple) or clicking into an individual record (to tag one person), add the "Review Request" tag to the contact(s) you wish to be put into the campaign.
  • The trigger will fire off the campaign to anyone with the "Review Request" tag.

Part 2: Triggering a Review Request Email. If you plan to automate sending one-time requests, using a one-time email trigger will be a convenient option.

Step 1: Create the trigger.

  • Navigate to Settings > Reputation > to copy the review link you've added into your system. (Copy this and you'll paste it in a following step).
  • Navigate to your triggers section to create a new trigger.

  • Choose the application of a Contact Tag to trigger the automation.
  • Define the filter as whatever tag you want to use to fire off the action. In this example we are using the "Review Request" tag to send a one-time email.
  • Create the email template and be sure to paste the link into the body.
    • Note: you can use the Custom Values section in the email customization to add the contact email into the "To" field. You can also use this to add their name into the email.
  • Save and activate your trigger.

Step 2: Apply the tag to utilize the trigger.

  • Navigate to your Contacts section, and follow the steps outlined above under Part 1.
  • The trigger will fire off the campaign to anyone with the "Review Request" tag.

NOTE: in order for the above triggers to work, they need to be activated before you apply the contact tag. If someone already had the "Review Request" tag prior to you creating either of these triggers, the system wouldn't retroactively add them into the campaign or send the email.
